How the Treasury works
One ledger of money in and out, a balance worked out from it, and the tabs that read it.
How the balance is worked out
Opening balance + posted income + party door revenue − posted expenses.
- An expense marked Scheduled (not paid yet) doesn't come off until it's posted.
- A party's door revenue counts. The party's expenses figure doesn't — log that spending as an expense transaction too.
- Fundraisers never touch the Treasury. See fundraisers.
Recording a transaction
Income or expense, a category, the amount, date and description, an optional payment method, optional linked events, and the Scheduled switch. A Dues income row attributed to a member also lowers what that member owes — see dues.
The opening balance
What was in the account when you started keeping books here. $0 is a fine answer. Until it's set, Treasury holders are asked for it when they open the page, and everyone else sees that the books haven't been opened yet.
There's no budget screen right now
The Budget tab is switched off, so there's nowhere to set allocations at the moment. The “budget category” on a reimbursement is its expense category.
Everyone can read the books
Any member can open the Treasury and read the ledger. Ask Chapt answers money questions for anyone for the same reason.
