Approving join requests
Everyone who opens an invite link and asks to join lands here. Nothing about them exists in your org until someone approves them — and approving is the only way anyone gets onto the roster.

They opened an invite link. Nothing is created until you approve.
Approve Maya Chen?
Approving creates their spot on the roster and lets them in immediately. They'll start with no dues, no attendance and no recorded hours.
RoleNo role — just a memberThe count also shows under Needs you in the sidebar, and waiting requests appear on the dashboard's members card.
- 1Open the roster. The band lists who's waiting, oldest first, with the link each came through.
- 2Search by name or email, or narrow it to one invite link.
- 3Choose Review & approve. Pick a role, or leave it at no role.
- 4Approve. They're on the roster and can get in immediately, starting with no dues, no attendance and no recorded hours.
Roles below your own
The role list only offers roles ranked below yours. Org admins can give any role. You can change it later from the roster.
Declining
Declining tells them the request wasn't approved, and that link stops working for them. If you change your mind, send them a different link — asking through a new link starts a fresh request.
At your plan's limit
People can still ask. Approving is what's blocked, with “Adding another member needs a billing update.” An org admin fixes that in Billing — see the member limit.
Two officers, one request
If another officer decides first, you're told it was already reviewed and the queue refreshes. Nobody gets added twice.
Already a member somewhere else?
If the person already uses ChaptOS in another org, approving links that same account. Each org keeps its own roster entry.
