Adding a meeting

  • Name, date, time and place.
  • Required attendance counts toward standing and sends excuses for review. Optional means no roll is taken.
  • Start the notes from an agenda template, or blank.
  • Repeat weekly or every 2 weeks, until the end of the term or an earlier date — up to 52 meetings. Each one is its own meeting, so editing one never touches the rest.

Minutes

Writing the minutes needs the Events permission; everyone can read them. Write action items like “- Dev to send the budget by Oct 10” and Summarize pulls out the decisions and who owes what. If the notes change, Re-summarize. An action item can be ticked off by an officer or by the person it's assigned to. Copy, download or print the minutes from the meeting's menu.

Summaries use the AI provider

Summarize sends the meeting's notes to our AI provider and saves the summary on the meeting. What's sent.

Agenda templates

Templates on the Meetings page opens the drawer. A template is sections, checklist lines and bullets, plus blanks — {{meeting_title}}, {{meeting_date}}, {{meeting_time}}, {{location}} — filled in when a meeting is made from it. Make one the default and new meetings start from it. Editing a template never changes past meetings. Up to 50.
